RESPONSIBILITIES

As an administrative and financial assistant (M/F/X), you will report directly to the Finance Department and play a key role in the administrative, financial and logistical management of the company.

Your main tasks will be as follows:

General Administration:

  • Performing various secretarial tasks (managing emails, welcoming visitors, ordering supplies, etc.).
  • Improving the computerised filing system at group level.
  • Ensuring administrative coordination between the subsidiaries and the head office based in Belgium.

Financial Administration:

  • Issuing sales invoices for Envirium Life Sciences and Virunga Origins and following up on them in collaboration with the various departments.
  • Receiving incoming invoices and applying the validation procedure.
  • Verifying and carrying out financial transactions in agreement with management.
  • Transferring financial documents to the accounting firm.
  • Encoding bank statements and reconciliations.

Sales administration:

  • Liaising between customers and subsidiaries/factories.
  • Handling customer complaints and tracking order and delivery status
  • in coordination with the sales department and subsidiaries.
  • Support for sales representatives and back office.
  • Organising and participating in sales events in collaboration with
  • sales representatives (trade shows, trade fairs, exhibitions, etc.).

Organisation des Evènements

  • Organisation logistique et administrative d’événements internes (séminaires, management review en interne, réunions du conseil d'administration, assemblées générales, team-buildings, fêtes d'entreprise, etc.)
  • Réservation et organisation des voyages professionnels pour les managers.

Logistics Administration:

  • Management and monitoring of stocks (samples and small volumes) in Belgium, ensuring stock levels and expiry dates are maintained.
  • Sending samples (customers, analyses).
  • Shipping small quantities of goods to customers.
  • Planning certain product shipments to customers and organising these shipments with carriers and customers.
  • Monitoring customs logistics operations (import/export, transport, purchases, shipments of goods).
  • Ensuring that transport documents comply with national and international regulations, in collaboration with internal teams and subsidiaries.

PROFILE

  • You have a bachelor's degree with at least 3 years of professional experience in a similar position.
  • You are fluent in French and have a good level of English.
  • You are comfortable with MS Office tools and have good interpersonal skills.
  • You are organised and structured, and you demonstrate great rigour in your work.
  • You are versatile and proactive in the face of the unexpected.
  • You work independently within a team and are proactive in making suggestions.
  • You enjoy working in an international environment.
